Roster FAQ

(Also keep an eye on what's new)

  • I can't log in
First time users: enter your email addr (that you put on your Membership form), and your password will be sent to you. If your addr is not found, it may have been mis-typed when we entered it. Please email us to request a correction. Once you can log in, you can (and should) update your own email (and other contact) information yourself.

  • I found a bug/caused a crash
PLEASE send mail to webmaster explaining what you were trying to do, and what happened. In the Jaycee spirit :-), this tool is a learning experience for the webmaster, so no doubt some bugs snuck through the testing... but we'll try to get things patched up asap. Thanks!
  • Help! I forgot my username or password.
Got to the main log-in screen, and enter a valid email addr. If your email addr is found in the roster, your info will be sent to you.
  • Yick, why can't I have a "normal" user id (like cooljc)?
Sorry, a database requires there to be something "unique" about every person, and since we don't use your SSN#, giving everyone a simple # was the best alternative to guarantee no overlap.
  • Can I change my password?
Yes. Log in with the user id, and ugly initial password, then when you see all of your information, you'll see a place for change your password (look for the ***** box). And if you mis-type it, or forget it, see the first bullet.
  • I was logged in, but now it says "session expired".. why?
The roster is set up to automatically log you out after 30 minutes as a security precaution.
  • My birthday is wrong! (I wasn't born on March 0).
Unfortunately, we only had month/year information for a lot of people (that is all Nationals puts on the records). When this was entered, we put a 0 in to mark the people with "unknown" exact days. Please email the webmaster with your correct day of the month.
  • Do I get "deleted" if I move/quit/age-out/etc?
No. By the magic of databases, there is no need for us to "forget" your information, we can simply change your status (see below) and make the roster so that it only includes current members. Even better, we'll finally begin to automatically build our "alumni" records. Roster admins will be able to produce an alumni roster by searching for all inactive members.
  • Will my user id/pwd still work after I quit/move/etc?
Certainly. If you are not an active member, then you may not be able to do certain things (such as download a copy of the roster of active members), but you can still keep your information current, receive eJaycall notices, etc.
  • (new)Can current members see my info after I quit/move/etc?
Normally your info will automatically become private, available only to the memebership team, and roster admin(s), but it will not be available to general members, and will no longer appear in the printed roster. However, if you would like current members to be able to find your info via the "phone/directions/email" search (it still will not appear in the normal roster), you may set the "Non-member, disp roster info?" pull-down to a "Y" (it defaults to N). This will let people that know you find your most recent info.
  • I did a search on former members, why did I get so few results?
The search will only show info for those former members that have chosen to make it available.
  • Why are we including data from former members?
It does not appear in the main roster, but it may be very useful to a chairperson to reach a former member that ran a particular project. If that member has moved, the CPG info will not be useful. But if that member's info is available, it could help alot. We've also done a bad job of holding on to a list of our Alumni, this will help us build that list.
  • What is my "status"?
When you join, your status will be set to 'Active'. At some point you will either quit, move, transfer, or age out, and your status will reflect that.
  • My last name(etc) changed...Why can't I change my ..... ?
You should be able to change most of the day-to-day stuff (email addr, mailing addrs, etc), but some fields must be updated by a roster admin. Send any such changes to the Membership team (so they can update all of our records).
  • How soon is my updated info available?
As soon as you submit your information and get the everything ok back, your new information will be used from then forward.
  • How often is the roster produced/updated?
When you download the roster, you get an up to the minute copy using the latest info.
  • What's a Lifetime Members/JCI Senator?
These are awards/distinctions handed out fairly rarely (maybe 1/year) to members that have contributed greatly to the chatper as a way of saying thanks, and we'd like you to stick around (even tho some of these people would otherwise techincally age-out).
  • What's the alternate email addr?
The alternate email addr is a way for you to have a 2nd and/or private addr that you can use for RJC-only things. This addr does not get printed in the roster, but can be used by you to download the roster or subscribe to our RJC-only mailing lists (eg. broadcast). Of course if you post to any mailing list from that private addr, you will make your addr public.
  • What does "Receive direct Chapter anncs" mean?
The Board will send out "critical chapter communications" from time to time. These will include things like meeting cancellations (ice-storm, etc), and annc's about Policy and/or Bylaw updates. These mails will not be on a yahoogroup, but will be sent DIRECTLY to the email addr you list as your Primary email. If you do not want to receive such mails, set your preference to 'N'.
  • Why don't I get a paper copy of Jaycall?
Hopefully you have signed up for eJaycall. (paper Jaycalls cost several thousand $$ to produce per year, so please save the chapter the $$ and get the electronic verion). Subscribers to eJaycall do not get a paper copy. You will get an email from the Jaycall editor when each new issue is ready with a link to the new issue. You will get your Jaycall sooner than the ones we have to mail, and you get color pictures (vs. black/white in the paper copy)
  • I updated my email addr... why didn't my JayceeBroadcast switch to my new addr?
Updating your email address does not automatically update your JayceeBroadcast/Bits n Bytes info. Unfortunately these are 2 different systems (our website and Yahoo). You must go and subscribe your new addr... get that working, then unsubscribe your old addr.
  • (new)Where did the photos come from?
As an initial test of the overall ability, Board members can upload a photo of themselves, which all members can see. This should make it easy to everyone to identify any Board member. This might be expanded to include everyone (at their option), but needs some discussion first (privacy issues, use/mis-use, etc).
  • (new)What are the file archives?
We get a fair amt of storage space with our web acct. Seems like we might as well use it to start building a better archive of files. From year to year we lose a tremendous amt of information as new volunteers take over old tasks. This is an attempt to help preserve more of that info. Files will be moved into subdirectories as makes sense. To help everyone PLEASE name any file you upload as PROJECTNAME_YEAR_some_further_description. Please do NOT upload CPGs into this directory. Final (approved) CPGs should be sent to your VP who will add them to the CPG library.
  • How does the roster grouping work?
You can specify up to 3 filtering options on a roster search. The 'grouping' boxes allow you to group these filter to form different logical functions (sorry still trying to find a simple way to explain this...).
    Join year = 2000
    AND
    Join month = 03
    OR
    City           =      Apex

    If you choose
    • No grouping: you get a list of all members that joined in 03/2000 and all members that live in Apex (no matter when they joined).
    • Group 1/2: Same thing (in this example)
    • Group 2/3: a list of all members that joined in March or that live in Apex, but for both of these, it will only be members that joined in 2000.
  • (new)What is the interests field for?
This field (like the occupation field) is completely optional. Its a way for you to let other members know more about yourself. Using the roster search, you could now do a search with
    Interests CONTAINS ski
to find other members that like to ski. This field is currently limited to 200 characters in length and is sort of an experiment that we will evaluate over time.
  • (new)What is the occupation field for?
This field (like the interests field) is completely optional. Its a way for you to let other members know more about yourself. Using the roster search, you could now do a search with
    Occupation CONTAINS paint
to find a member that is a painter (if you wanted to give your business to a fellow member).
  • (new)What is the IM info field for?
This field (like the interests field) is completely optional. If you are an instant messenger user, and want to publish your IM info here, feel free.
  • How do I import the roster to my Palm Pilot?
Dwayne Perry has provided instructions on how to import the roster to your Palm Pilot.

Who can....

  • Who can receive eJaycall?
Anyone can (since we offer it from our website)
  • Who can receive paper Jaycall?
Only 'Active' members. While we're happy for anyone to read eJaycall (which is essentially free for us to distribute), the paper copies add up to several thousand $$/year, so those are restricted to current members.
  • Who can download the roster (and other RJC-only files)?
Active members, Lifetime Members, and JCI Senators (from the RJCs) may access the RJC-only files.
  • Who shows up on the birthday list for Jaycall (month and day only)?
Active members, Lifetime Members, and JCI Senators (from the RJCs).
  • I'm not an Active member anymore, what can I do?
You can maintain your own information, and subscribe to eJaycall.
